Advising/Registration Procedures for New Transfer Students

  1. Academic units will assume the responsibility for advising all accepted transfer students who are assigned to them, or their advisors (based on the student indicating the departmental major on the Transfer Data Form). Remember that departments are previously informed of potential new transfer students when they are sent DARS for all accepted students who list one of their majors on the application. The difference, once registration begins, is that you will assist only the students who noted your department/major on the Transfer Data Form. Some accepted students choose not to enroll and others may change their intended major after they apply.
  2. Transfer students are first notified about the Orientation process in the Be Yourself brochure (for fall) or letter from New Student Programs (for spring) mailed with the deposit confirmation letter. However, a new student (deposited or not) can learn about the process by calling UB or simply searching our websites. If you receive inquiries from students for whom you have not received a Transfer Data Form please direct them to New Student Programs (NSP).
  3. Once the New Student Program (NSP) office receives a completed Transfer Data Form they enter all information into the SPOT database (accessible by all advisors) and then forward the data form via email to the appropriate unit/person (see list here). Registration for new Spring 2010 transfer students begins on Thursday, November 19th. NSP will give U-checkstop overrides on Wednesday, November 18th to all new students who submitted a completed Transfer Data Form and will continue to provide overrides to students on a rolling basis after this date as data forms are received.

The advisors' responsibility is to:

  • Communicate with the student (email, phone, in-person).
  • Advise them on course selection for the major and general education- using DARS and the Transfer Data Form as tools. REMEMBER TO INQUIRE ABOUT COURSES IN PROGRESS, GENEDS ALREADY COMPLETED FOR PREVIOUS SUNY STUDENTS AND GENED WAIVERS FOR ANYONE WHO WILL HAVE 24 OR MORE CREDITS BY THE TIME SPRING SEMESTER STARTS!
  • Check on SIS for availability of open courses and provide the student with the corresponding registration numbers.
  • Check to see that they have received their UBIT name/pswd and have completed the "Get Connected" section of the Orientation website.
  • Refer them to the Undergraduate Advising site for Web Registration tutorial if needed.
  • The advisor MUST then review the student's schedule on SIS (ILSCHREG), print it out on the blue schedule paper and send it to the student with the schedule confirmation packet - Be Focused (for fall). Do not forget to enclose a business card!
