Overview of Advisor Contacts
Purpose
Freshmen entering UB will be registered prior to coming on campus. The following is an overview of the procedures advisors should follow when contacting students. When speaking with an incoming freshman, it is important for advisors to remember that this is probably both an exciting and stressful time for the student, and patience is necessary.
Preparation
When advisors contact a student, they should have a copy of the student's Orientation Data Form, High School Transcripts and should retrieve from CICS screen (IDSKLSTU) the student's math and English placement. It will also be helpful if advisors have already listed out recommended courses for the student. At this time, advisors should verify:
- Intended Major
- AP/CLEP/IB Credit
- Senior Class Schedule
- College Credit
- Special Time Requirements (Work Schedule, Commuter)
Please note that the Orientation Data Form asks for all of this information except for the Senior Class Schedule and the Special Time Requirements, so it may not be necessary to re-write the information if it is already listed correctly. Note: AP credit may not be available at the time you contact the student, when the student receives their AP scores if changes are needed to their schedule, have them contact you immediately.
Pre-Registration
Once advisors have discussed the student's interest and background, it is time to discuss registration. Advisors are responsible for telling students which courses are being recommended (with a brief explanation of the reason, some background information on the courses, and the credit hours for each course). Students should then be advised that a copy of their class schedule will be mailed soon.
Wrap-Up
At the end of the conversation, advisors should encourage students to contact them (via phone or email), if they have any further questions. Once the schedule has been finalized, advisors must then process the student's registration.
